PRIVACY POLICY.

This Privacy Notice explains in detail the types of personal data we may collect about you when you interact with us. It also explains how we store and handle that data, and keep it safe.

There is a lot of information here but we want you to be fully informed about your rights, and how Racqueteers Junior Badminton Club uses your data. We will explain how we build a single view of you across the club.

We hope the following sections will answer any questions you have — but if not, please do get in touch with us. It is likely that we will need to update this Privacy Notice from time to time. You are welcome to check our website whenever you wish.

For ease throughout this Notice, 'we' and 'us' means Racqueteers Junior Badminton Club.

The law on data protection sets out a number of different reasons for which a company may collect and process your personal data, including:

1. When you become one of our members.
2. When you contact us by any means with queries, complaints, or other correspondence.

1. Your name, gender, date of birth, address, email and telephone number, and ethnicity information (if supplied).
2. Details of your interactions with us — for example, notes from our conversations, details of any complaints or comments you make, and how and when you contact us.

We need to use your personal data if you are one of our members, in order to fulfil our obligations to you and provide you with our services. The data privacy law allows this as part of our legitimate interest in understanding our members and providing the highest levels of service.

If you wish to change how we use your data, you will find details in the 'What are my rights?' section below.

Remember, if you choose not to share your personal data with us, or refuse certain contact permissions, we might not be able to provide some services you have asked for. For example, if you withdraw your general consent to hear from us, we will not be able to tell you that one of our sessions has been cancelled.

We know how much data security matters to all our members and customers. With this in mind we will treat your data with the utmost care and take all appropriate steps to protect it.

We do not store any personal data on our website. Our database is encrypted and only the Treasurer and Club Secretary have full access. At every club session, the coaches in charge may need access to emergency contact details and any medical information you may have provided.

We regularly monitor our system for possible vulnerabilities and attacks, and carry out penetration testing to identify ways to further strengthen security.

Whenever we collect or process your personal data, we will only keep it for as long as is necessary for the purpose for which it was collected.

When you leave the club, your data will be deleted from our database within 6 months. However, your membership with Badminton England remains valid until the end of the season — you should contact them directly if you wish to be removed from their database.

As we are affiliated to Badminton England, members of Racqueteers Junior Badminton Club are also members of Badminton England. In order to register you with Badminton England, we have to share some of your personal data with them.

Note that registration with Badminton England provides players with insurance cover. If you withdraw your consent for this, we will have to terminate your membership with the club.

You have the right to request:

Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent.

In cases where we are processing your personal data on the basis of our legitimate interest, you can ask us to stop for reasons connected to your individual situation.

We must then do so unless we believe we have a legitimate overriding reason to continue processing your personal data.

If you feel that your data has not been handled correctly, or you are unhappy with our response to any requests you have made regarding the use of your personal data, you have the right to lodge a complaint with the Information Commissioner's Office.

If you are based outside the UK, you have the right to lodge your complaint with the relevant data protection regulator in your country of residence.
